Form W-2 Overview

Let’s take a brief moment to refresh your memory on IRS Form W-2.

Form W-2 serves as an annual statement that provides a list of all income and compensations offered to employees that had income, Medicare, and social security tax withheld during the year. Your employees need this information to complete their personal income tax returns.

Failing to file Form W-2 or issue copies to employees by the January 31 deadline will result in expensive IRS penalties.

For example, failure to file by the deadline results in a penalty of $30 per W-2 Form. After 30 days, this penalty grows to $60 per form, with a maximum penalty of $500 or $200 for small business owners.

After August 1st, the penalty rises to $100 per return with a maximum penalty of $500 for small businesses and $1,500 for others. A small business is considered to be one with $5 million or less in gross receipts for the 3 most recent tax years.
