How to Correct Form W-2: A Complete Guide

reading time: 14 minute(s)

Every January, employers across the U.S. send out Form W-2 to their employees—a summary of wages earned and taxes withheld over the past year. It’s a critical document, both for employees filing their tax returns and for the IRS tracking income.

But mistakes happen. A transposed digit in a Social Security Number, an incorrect wage amount, or a wrong employer ID can create real problems—from delayed tax refunds to IRS notices.

The good news? There’s a clear, official process to fix W-2 errors.

What is Form W-2c?

Form W-2c, officially titled Corrected Wage and Tax Statement, is the IRS form used to fix errors on a previously filed W-2.

It doesn’t replace the original W-2 entirely—instead, it highlights what was reported before and what the correct information should be. This side-by-side format makes it easy for the SSA (Social Security Administration) and IRS to update their records accurately.

One important note: not every W-2 error requires a W-2c. A simple address change or a formatting issue with your company name, for example, typically doesn’t warrant filing one. We’ll cover what does and doesn’t need correction in the next section.

What can you correct on Form W-2c?

The following errors typically require a W-2c:

  • Employee name or SSN — Wrong or misspelled names and incorrect Social Security Numbers affect the employee’s SSA record directly.
  • Wages and compensation — Incorrect amounts in any wage box, including federal wages, Social Security wages, Medicare wages, or tips.
  • Tax withheld — Errors in federal, Social Security, or Medicare tax withheld.
  • Box 12 codes and amounts — Incorrect codes or amounts for items like elective deferrals or uncollected taxes.
  • State and local information — Wrong state wages, incorrect state tax withheld, or a missing state.

Errors that typically don’t require a W-2c:

  • Employee’s address — If only the address is wrong, the employer can simply send a corrected Copy B to the employee without filing a W-2c with the SSA.
  • Minor formatting issues — Small cosmetic errors that don’t affect tax or wage data generally don’t require a correction form.

When in doubt, the safer approach is to file a W-2c. An unnecessary correction causes far less trouble than leaving a real error unaddressed.

Step-by-step: How to complete Form W-2c

Filing a W-2c doesn’t have to be complicated. Here’s how to get it done correctly.

  • Step 1: Identify the Error – Before filling out anything, clearly identify what was wrong on the original W-2. This determines which boxes on the W-2c need to be filled out.
  • Step 2: Fill out Form W-2c – Form W-2c has two columns for most fields:
    • “Previously Reported” — Enter the incorrect information exactly as it appeared on the original W-2
    • “Correct Information” — Enter the accurate information

Only fill in the boxes that contain errors. Leave all other boxes blank.
  • Step 3: File with the SSA – Once completed, file your W-2c electronically through TaxBandits. When you e-file through our service, Form W-3c is automatically generated and submitted on your behalf—you don’t need to manually prepare or attach it. A copy of the W-3c is also saved to your records for reference.
  • Step 4: Notify the Employee – Once filed, provide the employee with their corrected copies—Copy B, C, and 2—so they can update their tax records or amend their return if it has already been filed.

Filing your W-2c with TaxBandits

TaxBandits makes the entire correction process simple — whether your original W-2 was filed with us or somewhere else entirely.

  • Originally filed with TaxBandits?
Your data is already in the system. Locate the affected employee, update only the fields that changed, and submit. No re-entering original values, no starting from scratch.

If you need to correct multiple employees at once, export your W-2 records as a CSV, make corrections directly in the file, and reupload the entire batch in one go.
  • Filed elsewhere or on paper?
No problem. TaxBandits accepts W-2c filings for returns filed with any provider or on paper. Enter the previously reported values alongside the corrected ones, and we handle the rest.

Prefer bulk? Download our standard W-2c CSV template, populate it with your corrections, and upload the batch at once. Standard rates apply, starting as low as $0.80 per form.
  • State corrections handled.
TaxBandits includes state W-2c corrections in the same submission as your federal filing — no separate process, no manual state lookups. For states that require paper corrections, we prepare and mail the forms to the state on your behalf.
  • Employee copies, delivered.
The moment your W-2c is filed, TaxBandits delivers corrected copies to your employees — by postal mail or secure online access. If online access was already enabled for the original W-2 filed with TaxBandits, delivery is at no additional cost.

Final thoughts

W-2 errors are more common than you’d think—but they’re also entirely fixable. The key is to act promptly, use the right form (W-2c), and make sure both the SSA and your employee are informed of the correction.

If your situation involves multiple errors, prior year corrections, or complex wage adjustments, it’s always a good idea to consult a tax professional to make sure everything is handled correctly.

Ready to file your W-2c? TaxBandits makes it simple—with automatic W-3c generation and a straightforward e-filing process that gets your correction to the SSA quickly and accurately.
