Informational Return Record Keeping Requirements

If you choose to paper file Form 1099 or W-2, you must file Form 1099 with Form 1096 and Copy A of Form W-2 with Form W-3 by February 28, 2014. E-Filing Form 1099 and Form W-2 with ExpressTaxFilings is not only quick and easy, but the deadline is automatically extended until March 31, 2014 and eliminates the need to file Form 1096 and W-3, which are the transmittal documents. Failure to file by deadline may incur penalties.

Be aware that even though the E-Filing deadline is not until March 31, 2014, you were still required to furnish Copies B, C, and 2 of Form W-2 and Form 1099 to your employees by January 31, 2014, which means they must have been delivered or postmarked on or before yesterday.  The deadline to furnish Form 1099-MISC is February 18, 2014 only if amounts are reported in boxes 8 or 14 (Substitute payments in lieu of dividends or interest and Gross proceeds paid to an attorney).

You need to keep copies of information returns you filed with the IRS or have the ability to reconstruct the data for at least 3 years, 4 years for Form 1099-C, from the due date of the returns. Keep copies of information returns for 4 years if backup withholding was imposed.

These tax forms can be submitted through ExpressTaxFilings, anywhere, anytime within minutes and you will have an online record of your returns.
