Well, really, with ExpressIRSForms but you’ve probably caught onto that by now.
One of the new features that came along when ExpressTaxFilings emerged from the cocoon to become the gorgeous ExpressIRSForms butterfly you see before you when you e-file was the ability to complete and e-sign Form W-9 absolutely free.
Yes, Form W-9, the Request for Taxpayer Identification Number and Certification. Form W-9 is used when you’re required to file an information return (like a 1099 or a W-2) to obtain the correct taxpayer identification number (TIN) of the person for whom you’re filing, usually an SSN, EIN, or ITIN.
That’s right: we refer to completing the W-9 as e-signing because there’s no need to send this form to the IRS. Form W-9 is solely for your records, so you’re technically not e-filing it anywhere (unless you count the folders on your computer).
So how does it work?
It all starts when you log into your ExpressIRSForms (née ExpressTaxFilings) account. On your Dashboard, you should see a button that says “Request W-9.” Click this button, enter in your payer information and the name(s) and email address(es) of the person you need to complete the W-9, and send it off. Your request(s) will be emailed to your recipient(s) within 5-10 minutes.
What happens next?
Once your W-9 request is received, the person you sent it to will either complete the form and send it back to you in an email or reject your request. We’ll keep you updated via email on the status of your W-9 request(s). Based on the preferences you set, we’ll send an email:
- -every time a recipient completes or rejects a W-9 or
- -once a day with a synopsis of your total, signed, pending, and rejected W-9 requests.
In your account, you’ll notice that the status of the W-9 you sent has changed to Complete. Select View to view, download, and print the completed W-9. Additionally, your Address Book will update with your recipient’s information. That way, all you’ll need to do when you file that 1099 or W-2 is select their name from the drop-down menu on the payee/employee screen.
